1. Competency: Domain Knowledge & Skills

Question to ask: What are the 3 key challenges for the industry today and how can these be tackled effectively?

This question makes the candidate think about the top challenges of the industry in which the potential employer operates. The response from the candidate reveals his understanding of the industry, market, current challenges, and possible solutions. Knowing this is critical for the success of any project manager as they will be tackling those same or similar challenges inside the organization if they get hired. So this question helps the hiring managers assess whether the candidate is the right fit for the role.

2. Competency: Clear Communication

One of the most important skills for Project Managers is communication. Without communication, everything else fails. In today's matrix organizations, communication happens between various groups and levels, including internal as well as external groups of stakeholders. The key questions I usually ask are as follows.

Question: What are\were the communication challenges on your current\last project?
Question: What is your communication style with your team?

The first question helps you assess the candidate on how effectively he handles communication, including in challenging situations. The second question helps you understand how the candidate engages in a two-way exchange with others using available media and information, and assess whether he demonstrates good sense and judgement in timing the communication, and is able to use language effectively.

3. Competency: Consistency & Integrity

Honesty and trustworthiness are of utmost importance in the world of business. Project Managers manage critical responsibilities and resources such as material, money, and human resources. They also represent the organization to its employees, customers, and vendors. They are role models for their team members. A Project Manager relies on his team to get the project activities carried out to achieve the desired results. It is an important competency for a project manager to assess talent proactively, contribute actively towards developing team members, offer constructive feedback, and mentor and coach his team members. Responses to the following questions will reveal if the candidate is a Team-oriented individual and would be able to motivate his team members to excel.

Question: How do you go about performance management of your team?
Question: How do you motivate different team members?
Question: What tools and resources do you use to develop your team?

6. Competency: Effective Delegation

One of the key success factors for a project manager is effective delegation.  How effectively does he get work done? Delegation must happen through empowerment without interference and/or losing control. I often ask the following questions to determine if the candidate is good at delegating.

Question: What is your delegation style?
Question: How easily do you delegate responsibility?
Question: How do you monitor and review the delegated responsibilities?

7. Competency: Goals Focus

Being focused on project goals is absolutely essential for project managers. They should have a clear focus and clarity of thought. It is important to assess if the candidate has demonstrated the ability to align resources to achieve key objectives, to plan and identify ways to improve and achieve greater efficiency, and to monitor and fine tune execution with agility, hard work, perseverance, and good judgement. Key questions to ask in this area are:

Question: What are your career / project goals for the next 6 months?
Question: How do you set goals for your team? And how do you track these goals?

8. Competency: Managing Ambiguity & Risks

As a project manager one has to deal with uncertainties all the time. It is thus important for a project manager to identify and prioritize critical risks and appropriate mitigation actions required in fuzzy environments, and communicate adequately and appropriately. It is equally important to manage others’ concerns in changing environments and enable change. To assess competency in this area, it is best to ask scenario based questions.

Question: Describe 2 areas in your current project where there is a high level of uncertainty. How do you tackle these uncertainties?
Question: How do you control big changes to your project?

9. Competency: Prioritizing & Time Management

At any point in time there are multiple tasks and issues to tackle for a project manager. To be successful, the project manager has to choose his battles wisely.  Also, resources available for the project are always limited, and need to be utilized in a wise manner. That is prioritization in action. Time is a valuable resource for the project because once lost it cannot be recovered easily. As a result, Time Management is one of the key skills for a project manager. The Project Manager is responsible for creating efficient ways to execute tasks.

Question: How do you ensure that your project is always on track?
Question: What tools do you use as a manager to plan your activities as well as that of your team?

10. Competency: Proactive Decision Making

The Project Manager needs to identify and prevent issues from impacting the project adversely. Hence, it is important that the candidate demonstrates competence and the eagerness to take proactive actions, avoids procrastination, and does not shy away from making tough decisions. I usually ask candidates to share examples and real life scenarios from their projects and life where they took proactive actions. Here are a few such questions:

Question: Give a few examples of proactive decision making in your project. Also, in your life.
Question: Can you give me a few examples of where you made a tough decision and it backfired?

The second question is a tough one to handle for candidates and it reveals their honesty and compels them to talk about an instance when they failed. It's also important to see how the candidate handles failure and learns from it.

Individuals who are seeking more fulfilling careers in completely different sectors, are often unsure how to move forward. However, it is easier to move through this tumultuous time with some planning and focus.

We’ve suggested ten steps for professionals considering a change of career, and classified it into the three broad stages that precede the action: self-assessment, exploration, and preparation.

Self-assessment

1. Identify what you do and do not like about your current job

It is an exciting yet unnerving moment when you recognize that your career is no longer as stimulating as it once was. As you come to terms with the need to seek a new career path, it is prudent to consider what parts of this career had become stale, while others remained fresh.

This encourages you to think deeply about your current career and consider whether a lateral change within the company may suit you better than a full career change. If it is time to move on, this self-reflection will allow you the opportunity to custom-build a position that will meet your career needs better in the future.

2. Assess your interests, and personal values

As you find what you’ve enjoyed about your current career, particular career niches will come to mind that might suit these interests. While some are a spur of the moment consideration, others will be solid leads for your future careers.

This is also the perfect time to consider your personal values and what you are willing to sacrifice to reach your new goals. Making a list of possible vocations to research later will help you to stay organized and focused on your objectives.

3. Transferrable skills

When people change professions there are concerns about their ability to learn the ropes for a completely different sector. Many skills are transferrable to other careers, when you look at them more broadly instead of within a specific skill set.

For instance, someone who has spent years working as a Human Resources Manager has a host of transferrable skills for government consultation work: facilitation skills, conflict resolution skills, hiring policies experience, etc. It is easy to pigeonhole the work you have done but now is the time to consider the ways your specialties make you valuable wherever you go.

4. Research new options

Now that you have a list of options for your career-change, it is time to research each of these careers to get an idea of what will work best for you. You should pay attention to the pros and cons of the careers - salary, locations, necessary education or training, and advancement opportunities.

This part is exhausting, especially as it’s not the first time that you have worked through this process, however; this should give you a whittled down list as you find the best options for your transformation. We suggest that you cut your list down to no more than two or three options so you can focus on those without being bogged down with too many options.

5. Shadowing

Now that you have your top two or three options, it is time to shadow people who work in the careers that interest you. Not only will these excursions offer you direct exposure to the field, it will give you a valuable networking opportunity in the future.

Pay attention the same areas of interest that you already researched to make sure what you investigated was true, and ask enough questions so you are truly informed about the careers. It is wise to shadow with two different people from two different agencies to make sure you get a larger spectrum of experience instead of a narrow view. At the end of the process (which can take months) you will be prepared to choose your new field.

Preparation

6. Creating a S.M.A.R.T. action plan

Creating an action plan helps to organize your thoughts and provides a checklist, while you move forward.
While you are designing your plans you should hold to the S.M.A.R.T. method by asking yourself this of every goal - Is it:

  • Specific?
  • Measurable?
  • Achievable? 
  • Realistic?
  • Time-Bound?

Utilizing these criteria will help you to assign yourself with specific tasks that you will be able to maintain. Forward momentum is the key at this point in your journey. So setting timelines for each of your goals and abiding by them is crucial. This is the time to reflect on and choose the exit date from your current career regardless of how far away it is.

7. Networking

If you have an extensive network you will have probably already tapped into them for advice and support, however; if you haven’t, now is the time to do so. Your network will provide you with information and opportunities that you will not be able to find yourself and ease the transition greatly for you.

8. Training and education

During your research you should have found education and training requirements for your new career, and now is the time to navigate through them. If your current career is able to offer any of the needed preparation you should take advantage of it.

Not only will it aid you in your new career, but it will enhance the work that you are already doing. If that is not an option, then you will need to spread out and seek those services elsewhere. Do not overburden yourself during this process. Remember that becoming a specialist in your field took time and be ready to put the same amount of effort into this phase while maintaining your current job.

9. Job search

You should begin to search for jobs and attend interviews when you are three to six months away from completing the needed training or education, for your new career. There are multiple reasons for this:

  • Job searching takes time. So the sooner you start, the sooner you will find what you are seeking.
  • Interviewing in a new career niche will take practice as you will not be a comfortable with the questions.
  • Practice is important. This will help you identify any holes in your experience or understanding, and in turn help you become more knowledgeable in the new area.
  • This will expand your network of professional support in your new field.

Depending on your current position, this is a good time to tell them that you are considering a career change so they can begin to make the necessary arrangements, to fill your position. You want to ensure you stay on good terms with your previous employer.

10. Gaining experience

While you are job-searching, you may come across opportunities to volunteer or work part-time. Do your best to make the time to commit to at least one new opening in your field, regardless of pay, because the experience and networking is priceless.

A combination of a professional background, training, education, and transferrable skills will take you far during your quest for a new career, however; actual job experience is always your most valuable asset as you step into a new position, so getting some under your belt will serve you well, as you interview. These positions can also turn into a full-time paid position for you.

As you transition to your new career and wrap up your old one, these steps should help you to have the easiest shift possible. Preparing yourself for the change is the biggest hurdle, so make sure that you plan well and stick close to your goals to ensure your success.

Most manufacturers have heard of Lean and Six Sigma. Increasing the velocity of processes is not about working faster, but speeding up the entire end-to-end process or lead time. Think of lead time as the time it takes once you order a book from Amazon to the time you receive the book.

Six Sigma is a well defined, customer focused management system that strives for the delivery of near-perfect products or services. Six Sigma's goals are to reduce defects and variation so that processes are more consistent and predictable. Originated by Motorola in the 1980s, Six Sigma translates into 99.9997 percent quality or yield. Dial tone of traditional landline phones, for example, was designed to be available 99.9997 percent of the time. Like Lean, Six Sigma places the customer first. It embraces data to make sound decisions. What has made Six Sigma so popular is the money it has saved companies. According to Praveen Gupta, "Companies have reported saving in the billions of dollars. No other methodology comes close to Six Sigma for savings."

What is "sigma"? The Greek letter Sigma (σ) is a statistical term that measures standard deviation or how far a given process deviates from perfection. The "six" comes from the goal of fitting six standard deviations between the mean and the nearest customer specification or target. To achieve Six Sigma quality (99.9997%), a process must produce no more than 3.4 defects per million opportunities. A "defect" is anything outside of customer specifications. An "opportunity" is defined as the total number of steps in a process where a defect can occur. The central idea behind Six Sigma is that if you can measure how many defects you have in a process, you can systematically figure out how to eliminate them and get as close to zero defects as possible. This means we need to be nearly flawless in executing our key processes

The best way to describe Sigma may be in terms of human behavior. When we start a new job, enter college, enroll in a training program, open up a new business or even try a new sport, humans generally are operating between 1.5 and 2.0 Sigma on a scale of 0 to 6. In other words, people begin by making errors about 30 to 50% of the time. We learn from our errors, and then improve our performance to an acceptable level. Type "A” personalities strive for 3+ Sigma performance or an error level 5% or less. They're asking questions, taking notes, and practicing their skills. Human behavior can be pushed to Sigma levels above 4 through simple checklists, mistake-proofing or poka-yoke techniques, visual management, and standardized work. Only through machine automation can we can achieve nearly error-free performance to the level of 6 Sigma.

Six Sigma follows a proven, closed-loop framework for tackling problems. It consists of five phases known as DMAIC: Define, Measure, Analyze, Improve, and Control. One of the key tenants that makes this framework work is the methodical discipline of identifying the most significant root causes of a problem before implementing solutions.
